What to Expect

Many people feel nervous and unsure when attending their first therapy appointment. At your initial appointment, you can expect your therapist to gather background information from you, discuss your concerns and wishes for therapy, and identify your goals for therapy. This initial session also allows you the opportunity to ask any questions regarding therapy as well as see if you feel comfortable with your therapist. An important factor in your healing process is a good working relationship with your therapist. We have a variety of therapists with different personalities, so we want to help ensure you have a therapist you feel comfortable with and who can provide the support and help you need.

Insurance & Payment

We accept clients wanting to pay privately, use their insurance, or utilize their employee assistance program (EAP) benefits. In order to utilize your EAP benefits for your counseling sessions, you must get an authorization directly with your EAP for our clinic. If you are unsure about that process, contact your human resources manager, and he or she can assist you. We are in network with the following insurance companies below.

Things to Consider When Using Your Health Insurance

When using your insurance, the kind of coverage you receive is based on the rules of your insurance company. This potentially means that your insurance company could determine the type of therapy that is covered as well as the amount of sessions you receive. In addition, your insurance company requires that we provide them with a mental health diagnosis for you (such as Generalized Anxiety Disorder) so that they will know your reason for utilizing your health insurance. This diagnosis code becomes a permanent part of your medical record. For marriage/couples counseling, many insurances do not cover marriage/couples counseling. This means that one individual of the couple would be identified as the “patient/client” and be given a mental health diagnosis, if applicable, which would become a permanent part of your medical record. If you choose to use your health insurance for your therapy sessions, here are some helpful questions to ask your insurance company:

  1. Do I have insurance benefits for mental health?

  2. Do I have a medical or mental health deductible that must be met before insurance will cover my sessions?

  3. How many mental health sessions per year are covered?

  4. Do I have a co-pay or co-insurance for my therapy sessions, and if so, what is that amount?

  5. Do I need to have prior authorization from my primary care doctor for my therapy sessions?

Medical Records and Court Fees: We are dedicated to protecting client confidentiality and maintaining a trusted, therapeutic relationship with our clients. For that reason, we strongly recommend and request that medical records and/or your therapist not be subpoenaed to court. As a client, you have the right to request a copy of your medical records. The following fees are required for medical records and court cases:

  • Copy of client medical records - $15 per medical record request

  • Summons/Subpoena to court - $2,000 fee. This is due to the fact that we are unable to schedule sessions with other clients and are having to reschedule already scheduled appointments with clients. This fee also covers travel time and potential loss and damages the therapist and clinic could receive. These charges will be due prior to appearing in court, even if court is cancelled, unless we are given 48 hours notice. Cash and credit/debit cards are acceptable forms of payment.

  • Written correspondence - The minimum fee is $25.00 and must be paid in full prior to receiving the written correspondence you have requested. Written correspondences can include but are not limited to letters to other practitioners, letters to places of employment/schools, disability applications, emotional service animal letters, etc.
